  • Answer phones during office hours and assist owners as needed
  • Attend board and annual meetings
  • Prepare board meeting package and annual meeting presentations
  • Maintain all association documents and records
  • Prepare 6D and all sales and refinancing documents as needed
  • Send out Welcome Packages to new owners
  • Maintain web portal with current documents
  • Assist attorneys with any issues or questions on behalf of the association
  • Send out notices and follow-up with any violations that occur in the community
  • Assist in keeping insurance policies up-to-date and making sure community is covered properly
  • Assist in any insurance claims


  • Effective work order system that tracks, notifies and updates owners by submitting work orders through the website, emailing or calling the service team
  • 24 hour emergency service available to the community
  • Customized preventative maintenance program
  • Solicit vendor proposals and vet them as needed
  • Manage vendor performance to make sure they are doing their work properly
  • Make regular site inspections and make recommendations to the board as needed
  • Assist and administer any capital reserve projects, as requested


  • Prepare full monthly financials that include: income statements, balance sheet, reserve analysis, cash disbursements, monthly general ledger, delinquency, investment, open accounts payable, and bank reconciliations
  • Collect association fees
  • Handle the collection process and diligently follow it though to payment
  • Send out late notices
  • Prepare and assist with annual budgets
  • Assist in acquiring loans and other financing options
  • Set up association vendors and pay them promptly
  • Maintain operating and reserve checking accounts
  • Prepare and assist in year end audits and tax returns with concert with association accountant

  • Easy Email and text communications to all owners and residents
  • Community phone notifications to relay important messages
  • Document center for important notices, association documents, board minutes, financials,  and other important information
